ISO 9001:2026 QUALITY MANAGEMENT SYSTEM CERTIFICATION
ISO 9001:2026 is the international standard that specifies requirements for a quality management system (QMS), enabling an organization to consistently provide products and services that meet customer and applicable statutory and regulatory requirements, while enhancing customer satisfaction and driving continual improvement. The standard is applicable to any organization, regardless of its size, sector, products, services or ownership model.
ISO 9001:2026 is the sixth edition, officially published by ISO on 16 September 2026, replacing ISO 9001:2015 and Amendment 1:2024 in the standards catalogue. ISO 9001 is the world's most widely used quality management system standard, with more than one million certificates issued across 189 countries. It is also one of the most widely adopted management system certification standards in Vietnam, selected by public authorities, manufacturers, trading and service companies, construction firms, logistics providers, healthcare and educational institutions, and public-sector organizations as a foundation for management standardization and quality control.
ISO 9001:2026 does not require an organization to establish a cumbersome documentation system. Its focus is on identifying the necessary processes; defining their inputs, outputs, sequence and interactions; establishing control criteria, resources and responsibilities; addressing risks and opportunities; and determining methods for evaluating results. The system delivers value only when it is integrated into actual operations, supports the achievement of quality objectives and produces consistent outcomes for customers.

ISO 9001:2026 is founded on seven quality management principles:
- Customer focus: Understanding current and future needs, fulfilling requirements, addressing feedback and striving to exceed reasonable customer expectations.
- Leadership: Establishing the direction, policies, objectives and environment that enable people to contribute to the intended results of the QMS.
- Engagement of people: Ensuring that personnel are competent, empowered and aware of their roles and contributions to value creation.
- Process approach: Managing activities as a system of interrelated processes to achieve consistent, effective and efficient results.
- Improvement: Proactively improving products, services, processes and system capabilities to adapt to change.
- Evidence-based decision making: Analyzing reliable data and information to reduce uncertainty and improve the quality of decisions.
- Relationship management: Managing relationships with suppliers, partners and key interested parties to sustain the ability to create long-term value.
The main groups of requirements in Clauses 4 to 10 are:
- Clause 4 - Context of the organization: Determining internal and external issues, interested parties, the QMS scope, processes and their interactions.
- Clause 5 - Leadership: Demonstrating leadership commitment and customer focus; promoting quality culture and ethical behaviour; and establishing the quality policy, roles, responsibilities and authorities.
- Clause 6 - Planning: Identifying and addressing risks while recognizing and pursuing opportunities; setting quality objectives, planning how to achieve them and planning changes to the QMS.
- Clause 7 - Support: Ensuring the availability of people, infrastructure, the environment for process operation, monitoring and measuring resources, organizational knowledge, competence, awareness including quality culture and ethical behaviour, communication and documented information.
- Clause 8 - Operation: Planning and controlling product and service provision, customer requirements, design and development, external providers, production and service delivery, release of outputs and control of nonconforming outputs.
- Clause 9 - Performance evaluation: Monitoring, measurement, analysis, evaluation of customer satisfaction, internal audits and management review.
- Clause 10 - Improvement: Addressing nonconformities, taking corrective action, preventing recurrence and continually improving the suitability, adequacy and effectiveness of the QMS.
Climate change requirements: The 2026 edition incorporates the provisions introduced through ISO 9001:2015/Amd 1:2024: determining whether climate change is a relevant issue for the QMS and considering related requirements of interested parties. Organizations need to assess relevance in relation to their context, products and services, customers, supply chains and infrastructure. This is not an entirely new topic introduced in 2026.
Transition from ISO 9001:2015 to ISO 9001:2026
Publication of the new edition does not mean that all ISO 9001:2015 certificates automatically became invalid on 16 September 2026. Certificate validity and transition audit schedules need to be confirmed in accordance with applicable accreditation and certification requirements and the status of each organization's management system.
- Compare the existing system against ISO 9001:2026 to identify gaps and the scope of updates required.
- Update the knowledge of relevant personnel and revise processes, responsibilities and documentation as necessary.
- Implement changes, conduct internal audits, address outstanding gaps and review the results at management level.
- Agree with GIC Vietnam on the transition audit plan and the documentation to be prepared.
Transition deadlines, arrangements and conditions follow the official guidance applicable to the certification programme. Organizations should confirm specific dates before planning and should not infer a transition deadline solely from the standard's publication date.

ISO 9001 certification is an independent assessment of a quality management system. It is not product or service quality certification and does not mean that every output will be error-free. ISO does not issue certificates directly; certificates are issued by competent certification bodies for the scope assessed. In promotional communications, organizations must accurately state the edition, scope and validity status shown on their certificate and comply with the rules governing the use of certification marks. Organizations may only claim certification to ISO 9001:2026 after the corresponding certification decision has been made.

1. Certification application & application review
The organization contacts GIC Vietnam and provides information on its legal entity, proposed certification scope, products and services, processes, sites, organizational structure, personnel numbers, shifts, outsourced activities, statutory and regulatory requirements, and QMS status. GIC Vietnam reviews the application to determine its ability to perform the certification activities, the applicable technical sector, audit-team competence, audit duration and other relevant conditions. On this basis, the parties agree on the standard edition, scope, timing, fees and certification contract. For transition from ISO 9001:2015, the organization also provides its current certificate, surveillance status and QMS update plan.
2. Audit planning & preparation
GIC Vietnam establishes the certification programme for the certification cycle, appoints an audit team competent in the relevant industry and prepares a detailed audit plan. The plan defines the objectives, scope, criteria, sites, processes, timing and sampling methods. The organization prepares its process map, documented information, quality objectives and indicators, operational records, internal audit and management review results, customer complaints and nonconformities. For transition, it also prepares the results of its comparison against ISO 9001:2026 and evidence of updates relating to awareness, quality culture, risks and opportunities, planning of changes and consideration of the relevance of climate change.
3. Audit process
The initial certification audit is conducted in two stages:
- Stage 1: Review of the scope, organizational context, interested parties, processes, documented information, sites and readiness; verification of internal audits, management review, objectives and indicators, and the determination of whether climate change is relevant before proceeding to Stage 2.
- Stage 2: Evaluation of the QMS's implementation, conformity and effectiveness against ISO 9001:2026 using the process approach. The audit covers customer and statutory requirements, leadership, quality culture, risks and opportunities, planning of changes, operational control, design, suppliers, competence, monitoring and measurement, customer satisfaction, nonconforming outputs, corrective action and improvement. The principal sequence is: Opening meeting → On-site process audit → Consolidation of findings → Closing meeting.
For transition audits: The audit content and duration are determined by the extent of changes to the system and the applicable guidance. Whether the transition audit is combined with surveillance or recertification, or conducted separately, is agreed as part of the audit programme. Repeating the entire initial certification process is not automatically required.
4. Audit report & nonconformity handling
The audit team prepares a report setting out its conclusions and any nonconformities supported by objective evidence. The organization implements correction where necessary, analyzes the root cause, evaluates the extent and impact, and plans and implements corrective action within the specified timeframe to prevent recurrence. GIC Vietnam reviews the submitted evidence and verifies the effectiveness of the response. Depending on the nature of the findings, additional documentation or an on-site follow-up audit may be required before the file proceeds to certification review.
5. Certification review & certificate issuance
A person independent of the audit team conducts the certification review and makes the certification decision, considering the scope, application records, audit report, conclusions and evidence of corrective action. When certification requirements and applicable accreditation conditions are met, GIC Vietnam decides to issue or update the ISO 9001:2026 certificate with a clearly defined scope. The certification cycle is normally three years, provided that the organization maintains its QMS and completes the required surveillance audits. A transition audit does not automatically start a new three-year cycle; certificate validity is determined by the certification programme and applicable transition requirements.
6. Periodic surveillance and recertification
During the certification cycle, GIC Vietnam conducts periodic surveillance audits to confirm that the QMS remains conforming, maintained and effective. The first surveillance audit is conducted no later than 12 months after the initial certification decision. Surveillance focuses on process performance, objectives, customer feedback, internal audits, management review, changes and improvement. Before the certificate expires, the organization undergoes a recertification audit to determine eligibility for the next certification cycle in accordance with the applicable standard and requirements. For ISO 9001:2015 certificates undergoing transition, surveillance, recertification and transition schedules need to be coordinated to maintain continuity of certification.
